This Privacy Policy explains how Peepal Bodhi Capital Services Private Limited (“we”, “us”, “our”) collects, uses, shares and protects your information when you use our website, forms, email, WhatsApp and services.

We operate in India and work with regulated partners such as AMCs, SEBI-registered PMS managers, IRDAI-licensed insurers, and independent CAs and lawyers.
2) Scope
This policy covers:
- Our website and contact forms.
- Client onboarding and service delivery for Mutual Funds, PMS facilitation, Insurance facilitation, NRI Services, ITR Services, Estate Planning coordination, Faith-Based Investing guidance, Charity Support, Wealth Tracking Services, and Paid-Only Execution.
3) The data we collect
We collect only what we need for lawful, fair and transparent purposes.
- Identity & contact: name, PAN, date of birth, addresses, email, phone, nationality, residency.
- KYC & regulatory: photographs, signatures, FATCA/CRS, risk profile, occupation, income band, nominee details.
- Financial & transaction: folio and demat details, bank details, UPI/IFSC, investment holdings, SIP/STP/SWP mandates, contract notes, statements, premiums, claims information.
- Documentation: copies of KYC, policy documents, property papers, wills/POA (if shared), 15CA/CB, ITR-related files.
- Communications & usage: emails, messages, support notes, IP address, device/browser data, cookies and analytics.
- Integrated email service (opt-in): email addresses and message metadata, and any content you choose to route through us for coordination.
We do not intentionally collect information about children under 18 without guardian consent.
4) How we collect it
- Directly from you: forms, calls, meetings, email, WhatsApp.
- From authorised third parties: banks, AMCs, PMS managers, insurers, KRA/KYC systems, CAs, lawyers.
- From public or regulatory sources where lawful.
- Through cookies and analytics on our website.
5) Why we use your data (purposes)
- To respond to enquiries and deliver services you request.
- To perform onboarding, KYC, and compliance checks.
- To process transactions, set up SIP/STP/SWP, prepare paperwork, and coordinate with partners.
- To provide statements, reports and reminders.
- To send service updates and regulatory notices.
- To run our website, improve user experience, and prevent fraud/misuse.
- For legally required record-keeping, audits and dispute handling.
6) Legal basis / lawful use
We rely on one or more of these grounds: your consent, performance of a contract with you, compliance with law (tax, KYC, FEMA, SEBI/IRDAI rules), and our legitimate interests in running a secure, efficient service. For clients outside India, local rules may also apply. You can withdraw consent where we rely only on consent, but this does not affect past processing.

- With regulated or professional partners: AMCs, PMS managers, insurers, KRAs, banks, registrars, CAs, lawyers and auditors.
- With service providers: IT hosting, CRM, cloud storage, email/SMS gateways, analytics, couriers.
- With authorities when required by law or to protect rights and safety.
We do not sell your personal data.
9) International transfers
If data is transferred or stored outside India, we use safeguards such as contractual protections, reputable cloud providers, and access controls. By using our services, you understand such transfers may occur to support service delivery.

We use reasonable technical and organisational measures: role-based access, encryption in transit where feasible, strong authentication, audit trails, maker-checker for sensitive actions, and staff confidentiality commitments. No system is perfectly secure; residual risk remains on the internet.
11) Data retention
We keep data only as long as needed:
- For service delivery and lawful business records.
- For statutory retention under tax, KYC/AML and other regulations.
- After that, we delete or anonymise it within reasonable timeframes.
Retention periods vary by document type and legal requirements.
12) Your choices and rights
Subject to law, you can:

- Update KYC, nominees and contact details.
- Withdraw consent where processing is consent-based.
- Request deletion where the law permits.
- Nominate an individual to exercise rights on your behalf as per the DPDP Act.
To nominate, contact assist@pbcapitalservices.com with subject “Privacy Nomination Request”. Any email sent should be from the registered email id. We may need ID proof to verify your identity. We aim to respond within 30 days.
13) Integrated email service (opt-in)
- We store addresses, metadata and content strictly to deliver the service you requested.
- We do not use your messages for advertising.
- For highly sensitive information, consider using encrypted files or a secure portal.
14) Third-party links
Our site may link to third-party websites. Their privacy practices are their own. Please review their policies before sharing data.
15) Special categories and SPDI
Some documents you share may include Sensitive Personal Data or Information (SPDI) as defined under Indian rules. We collect such data only when necessary for the purpose and protect it with stricter access and handling.
16) Grievance officer / Data contact
Grievance Officer: The email will be routed to a customer success officer or a compliance officer. In case both these positions are vacant, then it will be forwarded to one of the directors.
